What this policy covers

This policy explains how we collect, use, and protect personal information when you use the ExecMinutes website, app, and related services (the “Service”).

Information we collect

• Account information: name, email, and authentication data needed to create and access your account.
• Billing information: payments are processed by Stripe. We do not store full card numbers. Stripe may collect billing details as needed to process payment.
• Uploaded files (temporary): audio or video files you upload are processed on our backend to generate output, then deleted.
• Support communications: messages you send to support, and our replies.
• Basic technical data: limited data necessary to operate and secure the Service (e.g., IP address in server logs).

What we do NOT store

We do not store your audio recordings, transcripts, or summaries as persistent content. Files are temporarily processed to provide the Service and then deleted.

Sharing features like PDF/WhatsApp/Telegram export happen at your request. If you copy or share content, it leaves our Service through those channels.

How we use information

• Provide and operate the Service (login, processing, output generation).
• Process payments and manage subscriptions via Stripe.
• Prevent fraud, abuse, and security incidents.
• Respond to support requests.
• Comply with legal obligations where applicable.

Legal basis (Canada)

We generally collect and use personal information with your consent and for purposes a reasonable person would consider appropriate in the circumstances, consistent with applicable Canadian privacy laws.

Data retention

Uploaded files are processed temporarily and deleted. Account data is retained while your account is active. Billing records may be retained as required for accounting, tax, and compliance.

Sharing and disclosures

We may share information only as needed:

• Service providers: e.g., Stripe for payments, infrastructure providers for hosting/processing.
• Legal compliance: if required by law or valid legal process.
• Security: to protect rights, safety, and integrity of the Service.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. We are not SOC 2 or ISO 27001 certified.

Your choices

• You can access and update certain account information.
• You can request account deletion by emailing support.
• You can contact us to ask about privacy practices.

International processing

Our service providers or infrastructure may process data outside your province or country. Where this occurs, we take reasonable steps to protect information.
